What to Do When a Company Name Is Spelled Differently Across Documents

Treat even minor company-name differences as unresolved until the spelling, organizational form, and identifying records have been compared and clarified.

Do not silently correct the difference

A missing word, changed letter, altered spacing, abbreviation, or different organizational suffix can be a harmless transcription issue, but it can also point to another entity. Preserve each version exactly as written and note where it appears. Do not merge similar names merely because the documents share a logo, domain, product brand, or contact person.

Compare identity fields, not visual similarity

Place the documents side by side and compare the complete company name, suffix such as LLC, registration identifier if available, jurisdiction, address, and the role assigned to the entity. Distinguish a brand name from a company name and a storefront label from the seller named in transaction documents. For current public context, the SEWARD About Us page describes SEWARD as a brand under TOP KNIVES LLC. The TOP KNIVES company-identity page also warns that a website or catalog name is not a substitute for the full legal seller name on a quotation or order.

Resolve the discrepancy through an identified channel

Ask the counterparty to explain the difference and provide the relevant company identity material and matter-specific documents. The corrected or preferred spelling should be confirmed through an appropriate official channel and matched against any available public registration record. Keep copies of the conflicting versions, the explanation, and the supporting record so later reviewers can understand why a name was accepted.

Until that comparison is complete, mark the entity name as pending rather than choosing the version that looks most plausible. A current website statement can support a claimed brand relationship, but it is not independent proof that every similar spelling identifies the same legal entity.
